UAE TDRA, NESA, ADHICS, CBUAE-aligned where regulator demands recording / retention.

The Buyer's Guide

Eight questions before any AV integrator quote

Most failed video deployments in UAE failed because they were specified by an AV integrator quoting room equipment without first understanding which UC platform the rooms had to work with.

StepQuestionNail downWhy it matters
1Which UC platform are these rooms joining?Microsoft Teams, Cisco Webex, Zoom, Google Meet, all-of-the-above (BYOD), or a mixThe UC platform decides the certified-room ecosystem. Teams Rooms, Webex Rooms and Zoom Rooms are different products even if they share underlying hardware.
2How many rooms, of which sizes?Huddle (2-4 ppl), small (4-6), medium (6-10), large (10-18), boardroom (12-20+), training (20-40), town-hall (40+)Sizing drives camera, audio, display and processor selection. A huddle-room kit in a boardroom fails on day one.
3Single-platform or BYOD?Native Teams Rooms / Webex Rooms / Zoom Rooms (always-on for one platform), BYOD-first (laptop drives the meeting via USB-C / HDMI), or hybridNative rooms have better experience but lock to one platform; BYOD rooms join any platform but require the user's laptop to drive the meeting.
4What's the in-room experience standard?Speaker tracking, presenter framing, content sharing, dual-display, whiteboarding, in-room micsPremium experience requires specific feature support, not every room kit can deliver every feature.
5Acoustic and lighting environment?Glass walls (echo), open ceilings (reverb), variable lighting, parallel reflective surfacesMost 'the audio is bad' complaints in UAE rooms are room-acoustic problems, not equipment problems. Treatment is often required.
6Operational model, managed or self-service?IT-managed (Teams Admin / Webex Control Hub / Zoom Admin), fully-managed AV service, or end-user self-serviceManaged rooms get firmware, telemetry, alerts; un-managed rooms drift and break silently.
7Compliance & recording?Meeting recording retention, transcription, sensitive-content rooms (board, HR, legal)Some rooms shouldn't record by default; others must record for regulatory reasons. Configure per-room policy.
8Existing investment?Existing VC endpoints (legacy Polycom Group / Cisco SX / Lifesize), interactive displays, projectors, ceiling speakersRefresh economics, sometimes existing 4K displays plus a new compute / camera bar is cheaper than a full forklift.

Room Types & Sizing

Right-size the kit to the room

The single most common procurement error in video conferencing is putting the wrong size kit in the wrong room. Below is the practical sizing guide we apply on every UAE deployment.

Sizing rule of thumb

Camera field-of-view should comfortably frame the furthest seat with the ability to digitally zoom in on speakers. Audio pickup should comfortably catch the quietest expected speaker at the furthest seat. If either is borderline, step up one room class or add expansion mics. Glass walls, hard floors and exposed ceilings always demand audio over-spec; carpeted, acoustically-treated rooms can usually use the standard kit.

Architecture Decision

Native rooms vs BYOD vs hybrid

The architecture choice determines whether the rooms feel like an extension of your UC platform or a separate AV environment that users have to fight with.

ApproachHow it worksStrengthsWeaknessesBest for
Microsoft Teams Rooms (MTR)Always-on Windows or Android compute appliance running Microsoft Teams Rooms; certified hardware from Yealink / Logitech / Poly / Crestron / Lenovo / HP / NeatOne-touch join for Teams meetings, deep Teams integration (Teams calls, Together mode, room-level features), centrally managed via Teams Admin Center / Pro Management, broad certified-hardware ecosystemBest experience is Teams-only; non-Teams meetings require Direct Guest Join or external workaroundMicrosoft 365 customers, default for room standardisation
Cisco Webex RoomsCisco-built RoomOS appliance, Room Bar, Room Kit Pro, Board, Desk; managed via Webex Control HubCisco's premium video experience, class-leading camera, speaker tracking, AI framing, built-in noise removal; deep Webex integration; supports Microsoft Teams via Direct Guest Join (MTR on RoomOS), Zoom via WebRTCPremium pricing; best experience requires Webex platformCisco-aligned customers wanting premium experience
Zoom RoomsAlways-on appliance running Zoom Rooms software; hardware from Yealink / Logitech / Poly / DTEN / NeatBest Zoom-native experience, simple admin, broad hardware choice, very polished UXZoom-first; non-Zoom meetings use Direct Guest JoinZoom-priority customers, education, professional services
BYOD Rooms (laptop-driven)The room has a USB-C / HDMI cable plus camera bar plus display, the user plugs in their laptop, the laptop drives the meeting on whatever platformJoins any platform (Teams / Zoom / Webex / Google Meet / GoToMeeting) with no platform lock-in; lower per-room costWorse experience, requires laptop, plug-in friction, no managed compute, no telemetry, in-room features depend on laptopCustomers with mixed platforms, customer-meeting rooms, low-budget rooms
Hybrid (Native + BYOD switching)Premium kits with switchable input, appliance mode for Teams/Webex/Zoom, BYOD mode for guest meetingsBest of both worlds, single room serves multiple meeting platformsMore expensive, slightly more complex UXCustomer-facing rooms, executive rooms, multi-tenant shared spaces
Direct Guest Join (DGJ) / Universal RoomsNative rooms that can join other platforms via WebRTC, Webex Rooms joining Teams or Zoom, MTR joining Webex / ZoomOne room kit, many platform meetings; reduces forklift lock-inSlight feature gaps when joining the 'other' platform; sometimes audio/video quality less than nativeMixed-environment customers wanting platform flexibility
Proprietary VC (Avaya Vantage, Lifesize, legacy Polycom Group)Vendor-specific VC platform on dedicated codec hardwareNiche; broader market has consolidated to Teams/Webex/Zoom; existing-customer-onlyExisting legacy estate maintenance only

Practical recommendation in 2026/2027

Most UAE customers should standardise on Microsoft Teams Rooms (MTR) if they're on Microsoft 365, with Direct Guest Join enabled for the inevitable Webex / Zoom guest meetings. Cisco-aligned shops should standardise on Cisco Webex Rooms (with Microsoft Teams Rooms on RoomOS for Teams meetings). Pure-Zoom customers, Zoom Rooms. BYOD has its place for customer-meeting rooms or low-budget rollouts but isn't a strategic answer for standardised internal rooms.

Support, Price & Availability

Side-by-side: UAE market reality

* Availability depends on stock-model SKUs versus specifically-designed configurations (custom mic kits, dual-camera setups, boardroom AV-over-IP). Custom configurations may take longer ETA depending on supply chain. Artiflex normally suggests proceeding with ready-stock kits wherever possible to ensure timely delivery.

Display, Audio, Control & Integration

The room kit is one component

Display, microphones, control panel, scheduling and acoustic treatment together determine whether the experience works. Skipping any one is the most common failure mode in mid-tier UAE deployments.

Acoustic treatment & lighting, the most under-budgeted line

Glass partitions are everywhere; many UAE offices have polished concrete or hard-tile floors and exposed-ceiling-with-services design, all acoustic enemies. A premium room kit in an untreated room sounds worse than a value kit in a treated room. Always include in the design: acoustic ceiling baffles or wall panels on at least 30-50% of large reflective surfaces, carpet or area rugs on hard floors, fabric back-walls or curtains behind the camera, lighting that isn't directly behind the camera, and 3000-4000 K LED for accurate skin tones (avoid mixed colour temperatures).

Digital Signage & Meeting Room Booking

Two adjacent technologies often bundled into the room rollout

Scheduling panels outside the rooms (so users know which rooms are free) and broader digital signage for reception, lobbies, way-finding and internal communications.

Licensing Comparison

Room licensing layered on top of the UC platform license

Most rooms need a separate room license beyond the user license. The 5-year TCO depends as much on the room-license model as on the hardware itself.

* Licensing as per vendor positioning in 2026 Q2; SKUs and pricing models may evolve. Validate at quote time.

Room licensing decision shortcut

  • Microsoft 365 customer, standard rooms: Microsoft Teams Rooms Pro per-room, plus the certified hardware vendor's management subscription
  • Cisco shop: Cisco Webex Suite + device subscription
  • Zoom-priority: Zoom Rooms per-room subscription
  • Mixed-platform / customer-meeting BYOD rooms: No room license needed, laptop drives the meeting; budget for hardware management subscription only (Logitech Sync, Poly Lens)
  • Premium boardroom with full AV control: Add Crestron XiO Cloud or AMX-equivalent on top of the platform room license

Reality Check

What's rarely used in UAE video (and why)

TechnologyStatusWhy it's rarely usedWhere it still fits
SIP / H.323 dedicated VC endpointsEffectively obsolete for new buysMainstream meeting platforms (Teams, Webex, Zoom) have replaced SIP/H.323 as the meeting protocol; pure SIP/H.323 endpoints have niche use onlyInter-org legacy bridging, government / military closed networks
On-premise MCU bridgesNicheCloud meeting platforms eliminated MCU bridges for most customers; cloud video bridge (CVI / CVS) replaces themAir-gap / classified networks
PTZ standalone cameras (without compute / appliance)NicheAll-in-one bars now match or exceed standalone PTZ cameras for sub-100 m² rooms; PTZ relevant only for large rooms / productionBoardrooms, training, town-halls, broadcast
Consumer-grade displays in meeting roomsCommon but problematicConsumer TVs aren't rated for 16/7 commercial use; they fail prematurely, void on commercial-use claims; specify commercial 16/7 or 24/7 displaysNowhere in production rooms
Lamp-based projectors for new installsObsoleteLaser projectors and LED video walls have replaced lamp projectors; lamp replacement / drift make them operationally painfulExisting fleet only
USB-only cameras driving certified room kitsMisuseCertified Teams / Webex / Zoom Rooms require certified appliance hardware, a USB camera plugged into a Mini-PC isn't a certified roomBYOD scenarios only
'We'll just BYOD everything'Common misjudgementBYOD has lower up-front cost but worse experience, more user friction, no managed compute / telemetry, more support ticketsCustomer-meeting rooms, ad-hoc spaces, not standardised internal rooms
Bluetooth speakerphones for rooms > 4 pplMisjudgementBluetooth speakerphones are designed for 1-3 ppl on a desk; using them in a 6-person room creates muffled audioPersonal / huddle < 3 ppl only
Untreated meeting rooms with premium kitCommon & expensive mistakeAcoustic treatment is the most under-budgeted line item; without it, premium kit sounds worse than value kit in a treated roomAlways treat the room, it's not optional

Three patterns we frequently rescue UAE customers from

  • 1. "The IT team installed the kit, AV was an afterthought", the room kit works, but acoustic treatment, lighting, displays and control panels were never designed in. Result: usable but unprofessional rooms. Fix: include acoustic + lighting + display in the original design, not as a phase 2.
  • 2. "We bought boardroom kit for huddle rooms", over-spec'd kits in small spaces; speakers too loud, cameras zoomed too wide. Right-size to the room, Cisco Room Kit Pro doesn't belong in a 4-person huddle.
  • 3. "We bought huddle kit for boardrooms", under-spec'd kits, poor audio pickup at the far end of the table, cameras can't frame everyone. Same lesson, opposite end. Right-size.

UAE-Specific Considerations

Climate, glass, recording, in-region cloud, certified integrators

  • Climate & AV equipment: UAE summer ambient + over-cooling cycles can stress AV equipment. Specify commercial-grade displays and ensure rack ventilation in AV cabinets.
  • Glass partitions everywhere: Glass is the default UAE office partition material, and the worst possible material for room acoustics. Always plan acoustic treatment as a line item.
  • Right-to-left language support: Some control panels (Cisco Webex Navigator, Logitech Tap, Yealink RoomPanel) support Arabic UI, confirm at quote.
  • Compliance & recording: Banking (CBUAE), insurance and some government departments require specific recording / retention. Confirm meeting recording retention is configured per-room policy where regulator requires.
  • Cloud platform residency: Microsoft Teams (UAE North/Central), Cisco Webex, Zoom all offer UAE-region tenancy, confirm your tenant is in-region for compliance.
  • AV integrator certification: Premium boardroom and town-hall builds need AVIXA CTS / CTS-D certified designers and Crestron / AMX programmers. Validate at procurement.
  • Lead times: Stock-SKU room kits 2-6 weeks. Custom configurations / large displays / LED walls 6-14 weeks. Acoustic treatment custom installs 4-8 weeks.

FAQ

Video conferencing questions UAE buyers ask

The questions we hear most often from UAE businesses planning meeting room rollouts, comparing platforms, or rescuing failing AV deployments.

It depends on your UC platform alignment, not on which hardware is technically 'better'. If you run Microsoft 365, Teams Rooms is the right answer because it's tightly integrated with Teams calls, calendars, Together mode and central management via Teams Admin Center. If you're a Cisco shop running Webex, Webex Rooms gives you the premium camera and audio experience plus the deepest Webex integration. Both platforms now support Direct Guest Join, so a Cisco room can join a Teams meeting and an MTR can join a Webex meeting with reasonable quality. Pick the platform first, then pick the certified hardware vendor (Yealink, Logitech, Poly for value-tier MTR; Cisco for premium Webex; Crestron for the most demanding boardrooms).

Standardise on one for internal rooms, and use BYOD or Direct Guest Join for the inevitable customer / partner meetings on other platforms. A standard room platform (typically MTR for M365 customers, Webex for Cisco shops, Zoom Rooms for Zoom customers) gives consistent UX, single-pane-of-glass management, predictable refresh cycles and easier user training. Mixing native MTR + Webex + Zoom across rooms creates inconsistent experiences, multiple management consoles and confused users. The exception is customer-facing meeting rooms where flexibility matters more than consistency, those benefit from BYOD or hybrid kits.

All three are excellent and used heavily across UAE. Yealink MeetingBar A30 is the value champion, hard to beat on price-per-feature, strong UAE distributor network, and one of the most-deployed mid-room MTR kits in the region. Logitech Rally Bar is the mainstream default, broadest certification, modular Rally system can scale to large rooms, Logitech Sync management, slightly more polished UX. Poly Studio X70 is the audio choice, NoiseBlock AI is the best-in-class noise removal in mid-room kits and matters in glass-walled UAE offices. We recommend Yealink for cost-led estates, Logitech for mainstream-default standardisation, and Poly when audio is the priority (executive rooms, customer-facing rooms, glass-heavy offices).

You need acoustic treatment for any room above huddle size, period. Modern AI noise removal (Cisco Webex, Poly NoiseBlock, Microsoft Teams noise suppression) handles ambient HVAC noise and keyboard typing well, but it cannot fix room acoustics, echo, reverb, parallel-surface flutter and glass-wall reflections. UAE offices are particularly bad: glass partitions everywhere, polished concrete or tile floors, and exposed-ceiling-with-services design are all acoustic enemies. Acoustic treatment is the most under-budgeted line item in UAE meeting room deployments. Plan for 30-50% acoustic coverage on large reflective surfaces, ceiling baffles, fabric wall panels behind the camera position, carpet or area rugs, and 3000-4000 K LED lighting that's not directly behind the camera. A premium kit in an untreated glass-walled room sounds worse than a value kit in a treated one.

Yes, for training rooms, classrooms, design / brainstorming spaces and any room where in-meeting whiteboarding is genuinely used. Native whiteboard integration with Teams (Surface Hub, Microsoft Whiteboard), Webex (Webex Board) or Zoom (Neat Board) is significantly better than retrofitted USB whiteboard cameras. No, for standard meeting rooms where whiteboarding is rare, a regular 4K commercial display + a good camera bar gives a better experience-per-dollar than an interactive display that's mostly used as a regular display. Also no for boardrooms where the interaction style is presentation-and-discussion rather than collaborative whiteboarding. For UAE customers, we typically deploy interactive displays in 10-20% of rooms (training, design spaces, key collaboration rooms) and conventional displays in the rest.

Native for internal standardised rooms, BYOD for customer-meeting rooms or low-budget rooms. Native rooms (always-on MTR / Webex Rooms / Zoom Rooms appliances) deliver better UX (one-touch join, no laptop fiddling), managed compute with telemetry and remote firmware, in-room features like speaker tracking and presenter framing, and consistent experience across the estate. BYOD rooms (USB-C / HDMI from a laptop driving a camera bar and display) cost less per room and join any platform, but they have plug-in friction, no managed compute, and the in-room experience depends on whoever's driving the laptop. The pragmatic answer for UAE enterprises: native for the internal estate, BYOD for the 10-20% of rooms where customers / partners join on Webex / Zoom / Google Meet on a Microsoft-shop.

Cisco Room Panorama is a complete, certified-and-tested premium MTR / Webex experience optimised for the boardroom, dual ultra-wide cameras, premium audio, integrated Cisco RoomOS management. It's the right answer if you want a turn-key Cisco premium boardroom and you're prepared to standardise on Cisco. An LED video wall (Samsung The Wall, LG MAGNIT, Absen, Unilumin, Leyard) plus a Crestron Flex / 1 Beyond multi-camera system gives more flexibility, larger viewing area, support for AV-over-IP, integration with full room AV control (lighting, shades, audio routing), and deeper customisation. We recommend Cisco Room Panorama for Cisco-aligned customers wanting a turn-key premium experience, and an LED + Crestron + multi-camera build for customers wanting maximum flexibility, full AV integration, or rooms requiring AV-over-IP / NDI / Dante. Budget difference is significant, AED 450k-1.2M for Panorama-class, AED 800k-2M+ for LED + Crestron premium build.

Plan for a 5-7 year refresh cycle on the room compute and camera, and 7-10 years on commercial displays and LED video walls. Camera bars and room compute typically reach end-of-software-support around year 6 (Microsoft, Cisco, Logitech, Poly all roll major OS / firmware updates that drop support for older hardware), so you'll see escalating support friction in years 6-7 and a forced refresh by year 7-8. Commercial displays last longer if specified correctly (16/7 or 24/7 rated, kept under spec'd brightness, cleaned regularly). LED video walls have 80,000+ hour LED lifetime and typically refresh on cosmetic / pixel-density grounds rather than failure. Plan refresh budget annually rather than as a single capex shock, ~15% of your room estate per year keeps you on a healthy refresh treadmill.

Yes for every shared meeting room, no for executive offices. Outside-room scheduling panels (Logitech Tap Scheduler, Yealink RoomPanel, Evoko Liso, Crestron TSW) show real-time room status, who has it booked, and let walk-up users grab the room when it's free. Without them, users walk corridor-to-corridor checking which rooms are empty, or interrupt meetings already in progress. The cost is small (AED 2,800-5,500 per room) relative to the productivity gain. Skip them for executive offices (single-user, not shared) and personal focus rooms (booked via the user's calendar, not a panel). Also worth investing in: outside-room digital signage that surfaces room availability across the floor, particularly useful for hot-desk / hybrid offices where booking discipline is lower.
